The trouble with PDF-and-email intake

When applications arrive as attachments, staff become the intake engine. Someone opens each file, checks whether the required documents are attached, works out whether the applicant is even eligible, emails back for what is missing, and tracks the whole thing in a spreadsheet. Incomplete applications still consume review time, and a missing certification is often discovered only when it is too late to ask for it cleanly.

What the portal does

Each program gets its own online form with the fields, attachments, and certifications you define. Applicants create an email-verified account, save and return, and get told exactly what is still required before they submit. Required-item prompts and inline validation mean fewer incomplete submissions arrive in the first place, and the ones that do are flagged for a single, early request back to the applicant.

Auto-screening on submission

The moment an application is submitted, GrantDesk checks it against the program's eligibility rules and required-document list, drafts a short AI summary of the narrative and budget for staff, and flags likely compliance issues for a human to confirm. Complete, eligible applications move on to review; anything with a missing item or a hard eligibility failure goes to a staff queue with the reason attached. The AI is assistive: it screens and summarizes, it does not decide.

Applicants get a process that is clearer than a PDF and an email thread. Staff get structured, screened data instead of a pile of attachments, which is what makes every downstream step, review, award, and reporting, possible without re-keying. Common questions

Do applicants need training to use it?

No. The portal presents one clear form per program with required-item prompts and save-and-return. It is designed to be simpler than the PDF-and-email intake most offices run today.

Can we brand the portal as our agency?

Yes. The applicant portal is configured with your agency's name and program set, so applicants experience it as yours, not a generic third-party form.

What about applicants who need accommodations or help?

Save-and-return, clear prompts, and an optional applicant assistant answer common questions from your own program rules, and hand anything else to staff. Staff can also enter or assist an application on an applicant's behalf where needed.
